Human Lead. Tech Follows.

Free resource 11 | Fundraising | Version 1.0 | October 2026

Five editable donor email drafts with evidence, privacy, and personalization checks.

Audience: Development teams and nonprofit communications staff

## Warm messages, supported facts

Personalize in an approved system. Keep donor records out of unapproved AI tools.

### How to use these templates

Replace the bracketed fields, confirm the relevant program facts, and use the sign-off appropriate for your organization. A staff member checks the final recipient, permissions, and wording before sending. No email is sent by this resource.

### Safe drafting pattern

Ask AI to improve a generic template using approved public program facts. Leave name, amount, giving history, and private contact details as placeholders. Personalize later within an authorized donor workflow.

### Boundaries

Do not invent a beneficiary story, a donor relationship, an outcome, a match, or a deadline. Confirm any event invitation and public links. These messages are stewardship drafts and do not replace official gift acknowledgements or tax receipts.

### Personalization checklist

[ ] Correct recipient and preferred form of address.
[ ] Accurate program facts and any gift details.
[ ] No unsupported impact promise or private story.
[ ] Approved sending channel and contact preferences checked.
[ ] Final version reviewed before sending.

## 1 / Thank-you

Replace every placeholder. Omit any sentence you cannot verify.

### Email draft

Thank you for your support of [ORGANIZATION / PROGRAM]. Your generosity helps us continue [APPROVED DESCRIPTION OF WORK].

[OPTIONAL: ONE VERIFIED PROGRAM UPDATE, WITHOUT CLAIMING THIS GIFT ALONE CAUSED IT.]

[SENDER NAME / ROLE]

### Review

Confirm the recipient, program description, public link, and any gift reference. Keep official gift acknowledgements separate. Do not imply a specific gift caused an outcome without evidence.

## 2 / First-time supporter welcome

Use the welcome draft only when the first-time status is confirmed in an approved system. Avoid inferring interests or future mailing consent from a gift.

## Template 3: a verified program update

Describe the period and evidence without assigning unsupported causation.

### 3 / Program update

Subject: An update from [PROGRAM]

Hi [PREFERRED NAME],

I wanted to share a brief update from [PROGRAM] for [REPORTING PERIOD].

[VERIFIED ACTIVITY OR RESULT, WITH THE RELEVANT COUNT, POPULATION, OR LIMITATION.]

[SENDER NAME / ROLE]

### Optional AI editing prompt

Improve the clarity and warmth of [GENERIC TEMPLATE] using only [APPROVED PUBLIC PROGRAM FACTS]. Keep personal fields as placeholders. Do not request donor records, infer giving history, invent stories, or claim a gift caused an outcome. Preserve limitations and flag missing facts.

### Review

Confirm the reporting period, source, and meaning of every measure. If the program has no verified outcome yet, share an accurate activity update or next step.

## 4 / Event invitation

Give a clear, accurate next step without pressure.
